North Plains Chamber of Commerce Meeting Minutes
June 8th, 2010 at 12 noon 

Members in attendance; Bridget Sorensen; Steve Centoni; Doorways Consulting, Ana Singh Gill; North Plains Senior Plaza, Joanna Mehaffey, West Coast Bank; Glenda McCann; Subsurface Technologies. Dennis Brown; Portable Welding & More, Stewart King; Tri-Star Properties, Don Otterman; City of North Plains, Shirley Dunlap; North Plains Hardware, Patti Burns; Loch Lolly Christmas Forest, James Uyeda; Ride Connection. 

The meeting was called to order by Steve Centoni and introductions were made. 

The minutes for the May meeting were approved as written. 

Board Report, Stewart King The board meeting was held 5/26/2010

Attended: Steve Centoni; President, Stewart King; Vice-President, Patti Burns; Treasure, Bridget Sorenson; Secretary; Visitors: Bob Horning, Frank Bernards. Absent: Joanna Mehaffey and Paul Coussens. 

Mr. Bernards, CPA, explained the IRS 501C6 exempt non-profit status information for the Chamber. He suggested confirming what documents have been filed with the IRS and back tracking what is missing if any at least back to 2006. 

He discussed the importance of requiring W-9s and supplying 1099 forms for all venders and suppliers that received payments from the Chamber that were not incorporated. He also indicated that Patti Burns, contracted Events Coordinator, was indeed an independent contractor verses an employee and should be treated as a vender with 1099/W-9 requirements. 

There were the deliveries of the work performed by the hired bookkeeper and presentation of billing. It was MSA Sorenson/King for payment of the invoice. Motion carried unanimously. 

Future Meeting Speakers: was discussed, Joanna Mehaffey had been working on future speakers but was not present at meeting. 

After-Hour Meeting: was discussed. Currently we are still waiting to hear when the baby Alpaca’s will be born to have our after-hour meeting at their farm. 

Garlic Festival: Patti reported that everything was going well, sponsorship was down, and the poster was being painted. 

Board Nominations: Position available is the one vacant position, Patti Burns and Bridget Sorenson’s positions. Patti Burns, Bridget Sorenson and Sue Cropp were nominated at the Board meeting for the opening positions. At the next regular Chamber meeting we will take additional nomination at which time the nominations will be closed. 

Board Authorization of Events Coordinator Payment: It was approved to make payment to Patti Burns. She is to supply the Chamber with an invoice for service along with a W-9 form. Stewart King was approved to sign the payment check. 

City Report; Don Otterman; The City of North Plains will be deciding if they will contract out to the County Sherriff for police protection for North Plains, verses having a City Police Department. The City Council meeting on June 21st will be discussing what action should be taken on the matter. The public is invited to attend this meeting on Monday June 21st at 7:00 pm at the Jessie May Community Center.

The city wide Ice Cream Social is Thursday, June 10, 2010 at 7:00pm, the community is invited. 

The Planning Commission will meet Wednesday night and will continue to discuss the new sign ordinance.  

Garlic Festival Report, Patti Burns; Sponsorship for the 2010 Garlic Festival is very low., if you would like to sponsor the festival there is still time to do so by mailing your check to the Chamber.  This year’s poster was presented at the meeting and will be printed later this week as well as our promotional postcards. The food vendor area is full and there are only 4 Art & Craft vendors spaces left. T shirt sponsorship is available for those who would like their business name listed on the back of the festival shirts, I will be contacting past-shirt sponsors. 

Golf Tournament, Joanna Mehaffey; Informational flyers are being mailed out to previous players and sponsorships are coming in.

Ride
Connection representative, James Uyeda, We invite you to come be a part of the Ribbon Cutting Ceremony for the new Ride Connection and WAVE bus service connecting Banks and North Plains with TriMet on: Thursday, June 10th from10:30am to 11:30am at Log Cabin Park 290 S Main Street, Banks, Or

Nominations for the North Plains Chamber Board are closed; Nominees are, Patti Burns, Bridget Sorensen, Sue Cropp and Dennis Brown. Ballots will be e-mailed out to members.

The monthly business name to win the $175.00 was….. Pumpkin Ridge Golf.

Next Chamber meeting will be Tuesday, July 11th 2010
